Outstanding collection

Outstanding collection software that follows every credit bill until it is paid or written off

Credit sales are where a distributor’s money gets stuck. DFIE keeps every open bill in one list, puts the collection in the hands of named people, and does not let a collection count until it has been verified.

Customer, then bill

The outstanding list opens at the customer, with the number of bills and the total due. Open a customer to see each bill with its own bill date and age.

Collect in the field

Delivery and Sales Executives record visits and payments in their phone apps. One payment can settle several bills of the same customer, and a collection can be OTP-verified with the customer. Visits are saved offline and sent when the signal returns.

Verified before it counts

Each collection batch is counted, its cash receipt confirmed, then verified and approved by Accounts. Any shortage in a batch is shown as a figure and sent to the right person.

Follow-ups, write-offs, transfers

Accounts schedule follow-ups on overdue customers. A bad debt is proposed by Accounts and approved by Admin. When a collector leaves, their open bills move to another person.

A register for every collection batch

See every batch with its stage, shortage and receipts, drillable down to the invoice.

Common questions

Can one payment settle several bills?

Yes. A single payment from a customer can be split across several of their open bills.

Does collection work without internet?

Yes. Visits are saved on the phone and sent once, when the network returns.

Who approves a write-off?

Accounts propose it and Admin approves, or Admin writes it off directly. The reason is kept on the customer ledger.
