Collection verification

No collection counts until it has been counted, confirmed and approved

Collections made in the field are grouped into batches. DFIE follows each batch from the first visit to the final approval, so the books only move once the money has been confirmed.

Three stages, three marks

A batch is In progress while the collector is still visiting, Visit complete once they hand it in, and Closed when it has been approved. Marks show where it stands: C for the cash receipt, OC-V for verification and OC-A for approval. Each turns green as that step is done.

Cash first, then verification

A batch reaches verification only after its cash receipt is confirmed, whether the cash came in through a scroll or on the Delivery Executive’s day-end slip.

Shortages as figures, not stories

Any shortage in a batch shows in red as the exact figure, with a Details button for the breakdown by denomination, cheque and UPI. It goes to the right person to accept, and nothing is closed until it is.

A register for every batch

The Outstanding Collection Register lists every batch with its collector, what carried it, cash, cheque and UPI totals, shortage and stage. Open a batch to see its timeline and each receipt, with every bill’s invoice number and bill date. Filter by period, stage, collector or company, and export to Excel or PDF.

Collections on a delivery day

When a Delivery Executive collects outstanding on a delivery run, the delivery assignment shows a collection summary and an OC tag, and its “all OK” stamp waits until the collection has been verified and approved.
