Cash & shortage reconciliation

Every rupee collected, accounted for — and every shortage followed up

Collections from the field are where distributors quietly lose money. DFIE reconciles each Delivery Executive’s cash every day, and keeps any shortage open until it is actually recovered.

Collections recorded exactly as received

Cash, UPI, cheque and credit can share a single invoice — ₹500 cash plus ₹300 UPI is recorded as exactly that. Which payment modes are allowed is set in one place.

Day-end cash, counted not guessed

At day-end the Delivery Executive counts cash by denomination against the amount DFIE expects, after approved field expenses. A shortage they admit needs a reason up front. Accounts then confirms the receipt against the deposit slip’s scroll number.

Shortages that don’t disappear

When a delivery assignment closes with a shortage, it carries forward against that Delivery Executive until it is cleared.

  • Recovered, in part or in full, over time
  • Offset against an allowed cash excess
  • Paid in by cash, UPI or cheque
  • Or written off, with a reason
  • Paise differences are rounded to the nearest rupee automatically
  • Every movement is recorded in one shortage register

Limits that act before losses grow

Set a daily transaction cap, a limit on open delivery assignments, and an overall shortage limit for each Delivery Executive. Cross one, and new assignments pause until it is cleared.
