Credit control
Follow-ups, write-offs and transfers, each with the right approval
Some bills will not be paid on time, and some never. DFIE gives Accounts and Admin a clear way to chase, to write off with a reason, and to reassign the work when a collector leaves.
Follow-ups
Accounts and Admin see a list of customers to follow up, with the date and what was promised, so overdue credit is chased on purpose and not by memory.
Write-offs with approval
Accounts propose writing off part or all of one bill, with a reason chosen from a master list. Admin approves it, or writes off directly. The approved amount reduces the bill, and the customer ledger shows it as its own line; a proposal still waiting shows as pending approval.
- A write-off can never exceed what is still to be collected on the bill
- The bill is re-checked at approval, in case a collection came in meanwhile
- Admin sees the figure first, with a Details button for the exact numbers
Moving open bills from one person to another
When a collector leaves or an area is reassigned, Admin moves their open bills in a company to someone else: all of them, or only the bills picked. A bill with a collection waiting for approval stays where it is, and the screen says which were skipped and why. Every transfer is recorded.
