Shortage tracking
Track every stock, cash and return shortage until it is actually recovered
A carton short at the godown, cash short at day-end, a return that does not add up — each one is small, and together they eat a distributor’s margin. DFIE names every kind of shortage, sends it to the right person, and keeps it open until it is recovered.
Every kind of shortage, kept apart
- Stock issued short at the godown — needs a reason and Accounts’ approval before stock leaves
- Cash admitted short by the Delivery Executive at day-end, with a reason
- Cash counted short by Accounts, accepted by the Delivery Executive in the app
- Cheque or UPI received short, charged to the Delivery Executive or moved to customer credit
- Returns short when the Store Keeper checks what came back
- Return value short when credit notes cover less than what was returned
- Expenses approved for less than claimed
The right person approves, the Delivery Executive acknowledges
Each shortage goes to the person who can judge it, and the Delivery Executive accepts it in their app the same day. A stock shortage at the godown is never charged to the Delivery Executive — returns are checked against what was actually issued.
Carried forward until it is cleared
Whatever is not recovered when a delivery assignment closes carries forward against that Delivery Executive. It can be recovered over time, offset against an allowed cash excess, paid in by cash, UPI or cheque, or written off with a reason — and every movement is in one register that Admin and Accounts can see.
Limits that stop the next loss
Each Delivery Executive has a shortage limit. Cross it, and new assignments pause until the shortage is cleared — so a growing problem is caught early, not at month-end.

Common questions
Is a godown stock shortage charged to the delivery executive?
No. A stock issue shortage is recorded against the godown. Returns are checked against what was actually issued, so a Delivery Executive is never blamed for stock they did not receive.
What happens to a shortage at the end of the day?
If it is not recovered when the delivery assignment closes, it carries forward against the Delivery Executive until it is recovered, offset, paid in or written off with a reason.
Can one shortage cancel out another?
Only a cash excess can offset a shortage, and only when Admin allows it. An over-credited return never cancels a shortage on another bill.
